We are looking for a Executive Assistant to join our team.


The Job Brief:

The Executive Assistant must possess good judgment, strong interpersonal communications, innovative problem solving and decision-making skills, demonstrate excellent attention to detail, support multiple time-sensitive priorities, monitor results, and develop contingency plans. Must be comfortable with technology and various systems including but not limited to Microsoft suite (Word, Excel, PowerPoint, Outlook, etc.,) video conference systems, and front-end database systems. Administrative and writing skills are necessary. The ability to maintain strict confidentiality, professionalism, composure, and discretion are essential.

The Executive Assistant reports to the Executive Director, Deputy Executive Director, and other executive staff as needed, and provides general office administration.

A Typical Day May Look Like This:

General Duties:
  • Schedule, coordinate and prepare briefing materials for meetings, appointments, and conference calls.
  • Compose and proofread routine and advanced correspondence, reports, agendas, and other materials.
  • Coordinate travel arrangements and itineraries.
  • Maintain calendar for internal meetings (executive team meetings, senior staff meetings, and all-staff meetings).
  • Maintain contact lists.
  • Track and monitor ongoing projects and initiatives.
  • Other executive support as needed.
Office Support:
  • Prepare internal weekly activity report (This Week at NAAG.)
  • Primary point of contact for building and office space issues.
  • Manage office support functions (mail, shipping/receiving, kitchen, etc.)
  • Other administrative functions as needed.

Meetings & Events:

  • Support the Executive Director and Deputy Executive Director at all association meetings and events.
  • Executive Committee, Mission Foundation, and Finance Committee meetings
    • Maintain the schedule and call-in information.
    • Prepare agenda, compile materials, and communicate with committee members.
    • Call the roll and take meeting minutes.
  • Take the lead on follow-up communications and track action items.

  • 3-4 years executive/administrative experience

Location:

The Executive Assistant will work primarily out of the NAAG DC office, which is convenient to public transportation

Terrific Total Compensation Package:

  • Salary range $50,000-$55,000 and is commensurate with experience and budget availability.
