We are looking for a Operations Coordinator to join our team.

 

The Job Brief:

The Operations Coordinator is responsible for coordinating and supporting NAAG office operations and core business systems. This position is not eligible for full time remote work, and must report to the Washington, DC office regularly. Operations Coordinator must be customer centric, diplomatic and demonstrate the ability to build relationships with internal customers. Tech savviness and a willingness to continually learn new software, hardware, and technical skills is required. The Operations Coordinator must possess strong organizational skills and pay close attention to detail with the ability to switch between tasks quickly, meet deadlines, and adapt to changing priorities.

The Operations Coordinator reports to the Director of Information Technology.

A Typical Day May Look Like This: 

  • Act as a point of contact for building and office space issues.
  • Assist with employee orientation and general training for office procedures. Coordinate these efforts with Human Resources.
  • Manage office support functions with other support staff and maintain schedule (mail, shipping/receiving, kitchen, etc.)
  • Coordinate and manage kitchen and office supply ordering process and maintain general sense of inventory and needs.
  • Facilitates in conjunction with Managed Service Provider (MSP) to provide first tier user support to NAAG staff, contractors, and temporary employees.
  • Monitors tickets and ensures that tickets are resolved in a timely manner. When necessary, escalates tickets to Director of Information Technology.
  • Configures, installs, and maintains network hardware and software including desktop, laptop, printers, and other network peripherals. Configures printer and client software and configures and installs new systems and services and upgrades. When necessary, ship and receive equipment from remote staff.
  • Controls access to in-house computer systems such as Microsoft Office 365. Creates, maintains, and logs user accounts for internal and external users, assigns security profiles, and monitors systems for proper usage.
  • Maintains inventory of hardware and software for desktop systems. Produces and maintains regular inventory reports and creates additional detailed reports as requested.
  • Helps the Director of Information Technology procure new hardware and software.
  • Manages the use of and assists users with all NAAG Conference room technology.
  • Tracks the use of and assists users with meeting equipment. Performs regular maintenance of checkout devices. Assists with keeping storage area tidy.
  • Performs testing of computer software to ensure the effective and appropriate operation and compliance with requirements. Creates test plans, executes testing, and reports findings utilizing appropriate techniques within area of responsibility.
  • Drafts information for training manuals, maps business processes, and provides input on proposed policies in area of responsibility. Identifies the need for user training and provides training.
  • Other project related assignments as needed.

Is This You?

  • Bachelor’s degree preferred.
  • Associate’s degree, or other technical, military, or trade experience will be considered in lieu of Bachelor’s degree.
  • Ability to work well independently and in a team-oriented environment.
  • Ability to communicate complex technical ideas to various non-technical colleagues.

Desired Experience

  • Experience administering Microsoft 365 applications including Office 365, SharePoint, and Microsoft Teams.
  • Experience troubleshooting hardware, software applications and assisting users.
  • Hardware, Networking, Security certifications.
Core Requirements
  • 1-2 years of professional experience required (preferably in a hands-on IT technical setting).
  • Strong analytical, critical thinking, and problem-solving skills.
  • Strong customer service skills to resolve issues professionally and support stakeholder needs.
  • Self-motivated, highly organized, and detail oriented with the ability to work independently, prioritize, and multi-task.
  • Demonstrated ability to be adaptable and flexible in a fast-paced environment based on changing business needs.
  • Ability to work well independently and in a team-oriented environment.

Location:

The Operations Coordinator position will work primarily out of the NAAG DC office. 

 

Terrific Total Compensation Package:

  • Salary range $55,000 - $57,500 and is commensurate with experience and budget availability.
  • NAAG offers a generous benefits package which includes paid time off, health, dental, vision, life/disability, long-term care, and 401k retirement plan.
